Museum Assistant & Program Coordinator

POSITION SUMMARY
The Museum Assistant & Program Coordinator will be responsible for planning, coordinating, supporting, implementing and participating in all programs, activities and events of the Museum as well as providing high level administrative and operational support to the President and CEO and Vice President B’, including the participation in special projects with the utmost discretion and confidentiality.

KEY RESPONSIBILITIES
● Assists in planning, coordination, implementation and execution of the various museum programs, activities and events
● Schedule, coordinate and after approval support the implementation of program management of the Museum
● Acts as liaison between the various departments of the museum to support the implementation of day-to-day activities
● Post events and facts on social media websites on behalf of the President and CEO and Vice President B’
● Manages and assists the President and CEO and Vice President B, with incoming and outgoing correspondence – phone, emails, letters, etc. including writing and/or proofreading all correspondence requiring official signature
● Manages the President and CEO’s and Vice President B’s daily work calendars including scheduling appointments and meetings across various time zones, creating, and sending reminders; manages a regular cadence of all-staff meetings
● Maintains all electronic and physical files for the Executive Office
● Coordinates, schedules, and organizes board and committee meetings, creates (in collaboration with the Fundraising department), assembles and distributes all materials for meetings; Notates, transcribes, files and distributes all board minutes
● Works with the fundraising department to maintain lists of critical stakeholders for the Executive office e.g., donors, artists, curators, other institutional leaders; supports with list management related to Special Events
● Works on special projects as assigned
● Maintains complete confidentiality and discretion in all matters
● Perform other job duties as may be assigned in the future
QUALIFICATIONS
● Bachelor’s degree, required in the fields of Archeology, Humanities, History or other related social sciences
● Previous experience of minimum 3 years in Museum’s operations and activities ideally in planning/coordination/implementation
● Strong experience as a high-performing Assistant
● English and Greek professional fluency (reading, writing, speaking), required
● Experience with non-profit or corporate boards
● Proven editing and copywriting experience
● Legal experience is appreciated
● Knowledge of and interest in international museums and cultural organizations
● Results and detail-oriented, collaborative, willing to take on broader responsibilities
● Ability to work independently and as part of a team
● Excellent communication skills, written and verbal (Greek and English language)
● Proficiency with Microsoft Office Suite (Excel, Word, PPT), required
